Rep Ramp Privacy Policy

Rep Ramp is an AI-powered sales training platform. This policy describes what data we collect, how we use it, and the choices you have. It applies to all Rep Ramp products and features, including roleplay drills, call scoring, AI coaching, manager dashboards, and integrations such as Zoom.
What we collect
When you or your organization use Rep Ramp, we collect:
- Call recordings and transcripts - sales calls ingested through connected integrations (such as Zoom) or uploaded manually, and the transcripts we generate from them.
- Roleplay and training sessions - audio, transcripts, and performance data from AI roleplay drills and practice sessions.
- Scoring and coaching data - rubric scores, feedback, coaching interactions, and progress over time.
- Scripts and training materials - sales scripts, objection frameworks, and other content your organization uploads to power scoring and coaching.
- Usage and account data - how you use the product, device and log information, and account details such as name, email, role, and organization.
How we use your data
We use your data to:
- Provide the service - transcribe and score calls against your organization's rubrics, power roleplay drills, generate coaching feedback, and populate manager dashboards.
- Improve our products and AI. We use data across our platform - including recordings, transcripts, roleplay sessions, and scoring outcomes - in aggregated and de-identified form to develop, train, and improve Rep Ramp's products, machine learning models, scoring systems, AI coaching, and roleplay simulations. This includes learning effective sales techniques, question patterns, objection-handling approaches, and performance patterns, and incorporating what we learn into features available to all customers. This is how Rep Ramp gets smarter over time, including industry-specific coaching and benchmarks.
- Operate and secure the platform - troubleshooting, analytics, fraud and abuse prevention, and communicating with you about the service.
What we will never do: we will never reproduce your proprietary scripts, branded methodologies, or content identifiable as originating from your organization for any other customer, and we will never disclose, display, or make your identifiable content accessible to any other customer. Techniques our AI learns are expressed in Rep Ramp's own words - not replayed from any specific customer's content.
Data isolation between customers
Each customer's recordings, transcripts, scripts, and scoring data are stored in isolated, tenant-scoped storage. No customer can access another customer's data. Cross-customer learning happens only at the aggregated, de-identified level described above.
Opting out of aggregate training
Organizations may opt out of having their data used for aggregate model training by contacting support@repramp.app. Opting out does not affect our processing of your data to provide the service to you.
Third parties
- Transcription is performed via AssemblyAI.
- Call scoring and coaching feedback are generated via Anthropic: call transcripts and related call context are sent to Anthropic's Claude API for analysis. Anthropic does not use this data to train its models.
- Integrations you connect (such as Zoom) provide data to Rep Ramp under their own terms and your authorization; you can revoke these connections at any time.
- We do not sell your data, and we do not share recordings, transcripts, or identifiable content with advertisers or unrelated third parties.
Retention and deletion
Recordings and transcripts are retained while your account or Zoom connection is active. When you disconnect an integration or delete a call, the associated recordings and transcripts are deleted within 30 days (immediately for manually deleted calls). Aggregated, de-identified data that has already been incorporated into our models is not traceable back to you and is not subject to deletion, consistent with its de-identified nature.
Revoking access
You can disconnect Zoom at any time from the Zoom integration page in Rep Ramp (Manage → Integrations → Zoom → Disconnect Zoom), or by removing Rep Ramp from your Zoom account in the Zoom App Marketplace. Either path revokes Rep Ramp's access and begins the deletion process described above.
Your data rights
You have the right to access, correct, export, and delete the personal data we hold about you, to object to or restrict certain processing, and to withdraw consent where processing is based on it. Depending on your location, these rights may include those granted under the GDPR (including access, rectification, erasure, portability, and objection) and the CCPA/CPRA (including the right to know, delete, correct, and opt out of the sale or sharing of personal information — Rep Ramp does not sell or share your personal information).
To exercise any of these rights, email support@repramp.app. We respond within 30 days and will not discriminate against you for exercising your rights. You may also disconnect Zoom or delete calls yourself at any time (see "Revoking access" and "Retention and deletion" above), and opt out of aggregate model improvement by emailing the same address. If you use Rep Ramp under an organization's account, you can also direct rights requests to your organization as the data controller.
Individual users (reps)
If you use Rep Ramp under an organization's account, your organization controls the account and its data. Questions about your organization's practices should be directed to your organization. If you use Rep Ramp as an individual, this policy applies to you directly.
Changes to this policy
We may update this policy from time to time. Material changes will be communicated through the product or by email.
